Welcome emails are automatically sent to new users when they register on your job board. This guide explains how to customize and configure them.
Overview
When someone creates an account on your job board, they’ll receive a personalized welcome email. You can customize the content, timing, and targeting of these emails to create the best onboarding experience.
How It Works
The welcome email process follows these steps:
- User Registration - A new user signs up via email or Google OAuth
- Template Selection - The system finds the best matching welcome email template
- Delay (Optional) - Email waits for your configured delay period
- Delivery - Welcome email is sent to the user
Email Templates
Creating Templates
Each organization can have multiple welcome email templates to target different user types:
- Job Seeker Templates - Sent to candidates looking for work
- Employer Templates - Sent to businesses posting jobs
- Generic Templates - Sent to any new user
Template Matching
When a new user registers, the system selects the most appropriate template:
- First Priority: Template matching the exact user type (Job Seeker or Employer)
- Second Priority: Generic template (no specific user type)
Example:
User Type: Job Seeker
✓ Looks for "Job Seeker" template first
✓ Falls back to "Generic" template if not found
Email Content
Use these variables to personalize your message:

Timing Your Welcome Emails
Setting a Delay
You can delay welcome emails to improve engagement:
- Immediate (0 seconds) - Sent right after registration
- 5 minutes - Give users time to explore first
- 1 hour - Send after initial session ends
- 1 day - Follow up the next day
Why Use Delays?
Immediate Delivery:
- ✅ Confirms account creation instantly
- ✅ Provides important information right away
- ❌ Might get lost among other signup emails
Delayed Delivery:
- ✅ Catches users after they’ve explored
- ✅ Acts as a re-engagement tool
- ✅ Higher open rates
- ❌ Less immediate feedback
Editing the Delay
Click the blue “Delayed” badge on any template to quickly adjust the timing:
Choose your preferred time unit (seconds, minutes, hours, or days) and the system will handle the rest.
